Dorset Cleaning Services

Privacy

How the Team Hub uses your information. Dorset Cleaning Services Ltd is responsible for it.

What we keep

  • Your name, work email, phone number, job title and access level, entered by the office.
  • Reports you send, including answers, photos, times and the site, van or equipment involved.
  • Incident reports, which may include details of injuries and witnesses.
  • Training you complete: quiz scores, attempts and dates.
  • Which updates and documents you've confirmed reading.
  • If you turn on phone alerts, a code for your phone so we can send them. No location or contacts.
  • A record of important changes (who changed what, and when) for security.

Why

To run the business and look after you and our clients: recording the work done, keeping vans and equipment safe, dealing with incidents (including legal reporting duties), training, and keeping you informed.

Who can see it

You can see your own reports and training. Supervisors can see everyone's reports. Managers and administrators can see reports, training results and staff details to manage the team. Clients only ever receive the parts of a report the office chooses to share, with staff shown by first name and initial.

Where it's stored

On secure services in the UK and EU: Supabase (database, logins and photos, London) and the web host that runs the Hub. Everything is sent over an encrypted connection. Unsent form drafts are kept only on your own phone until you send them, and are cleared after 7 days.

How long

Reports are kept while they're needed for the work and our records; the office clears out old reports regularly. Incident reports are kept for at least the period the law requires. Training records are kept while you work here.

Cookies

Only the essential cookie that keeps you signed in. No advertising or tracking cookies.

Your rights

You can ask to see the information we hold about you, and ask us to correct it. Speak to your manager or the office. If you're unhappy with how we use your information, you can contact the Information Commissioner's Office (ico.org.uk).
